Keeping it useful

Request website changes without repeating the brief

A clear request says where the change belongs, what should replace the current content and who can approve it. A few specific details can save several rounds of messages.

Send enough context

  • The exact page link and the section to change.
  • The current wording, if the location could be ambiguous.
  • The approved replacement text or image.
  • When the change should appear, and whether it is temporary.
  • The person who will review the preview.

A screenshot can help identify a layout issue, but include the text separately when someone needs to copy it. Confirm that any photograph or document is appropriate to publish.

A fictional timing update

Page: Contact page, “Visiting hours” section.

Replace: Monday to Friday, 10 am–6 pm.

With: Monday to Saturday, 10 am–6 pm.

Start: After the owner approves the preview.

Check: Review the footer and any other place that repeats these hours.

This is an illustrative request, not the opening hours of VikaSquare or a real practice. Notice that it gives both the content and the related checks.

Group feedback at a review point

When several people have comments, nominate one person to collect them. Separate corrections, questions and proposed new features. A new booking system should not be hidden inside a list of wording edits.

If there is a target date, explain why it matters. The person doing the work can then confirm the scope and schedule rather than infer urgency from several partial messages.

Keep private information out of the brief

A public website update should not need client records, case files, identity documents or medical information in an ordinary chat. If access is required, agree a suitable way to provide it. Never place a password in the published content or a screenshot intended for the website.

Review and record completion

Check the preview on a phone and a larger screen, follow any changed links and confirm the wording. After publication, check the live page and note the change in a small record. A preview approval is not itself proof that the public site has changed.

Download the change-request format and use the maintenance checklist to agree who handles routine work.
